Overview
Projects organizes the work of a studio or services team: every project belongs to a client, has a project manager, a team, tasks with milestones and documents, and — if the client has prepaid hours — an hour retainer they get drawn down from. The team plans its week and logs its daily dedication, and the client can open support tickets for your team to resolve.
People and availability, from People
Projects doesn't create people on its own: it mirrors them from People, the suite app that keeps the roster and its availability. Without People connected, a project has a client, tasks and tickets, but no assignees or planning — the Settings screen tells you plainly if that's your case.
Planning and dedication
Two complementary grids:
- Planning — how many hours each person is expected to spend on each project, week by week, against their real availability.
- Dedication — the hours actually logged each day, which someone with permission can validate.
Retainers and tickets
A client can buy an hour retainer: a balance that gets drawn down as dedication is logged or a ticket is resolved. When it runs out, your team gets notified; the client can request more hours from their own portal.
The client portal
Every client (or whoever they name as a guest) gets access to their own portal, outside the internal app: they see their projects and progress, their retainers' balance, and can open and follow their tickets.
Project economics, from Finance
If your organization also uses Finance, Projects receives what's been invoiced and collected for each project and computes its indirect costs from logged dedication — the basis for the margin analytics.
The AI assistant
Projects ships with an assistant you can ask in plain language — "what tasks does the Acme project still have open?", "which retainers are about to run out?" — and an MCP connector to use the same data from Claude, ChatGPT or any compatible client.
