A project

Every project belongs to a client and has a status (planning, active, on hold, completed, cancelled), a project manager and a team. Its page brings together tasks, milestones, documents, manual expenses, portal guests and — if your organization uses Finance — its financial summary.

When a project is marked completed, its team and manager get notified, and so do any portal guests, by email.

Tasks

A task has a title, priority, dates and one or more assignees. It can carry subtasks, comments and its own documents, and depend on other tasks — a task blocked by another automatically turns BLOCKED, with nobody setting that by hand.

Assigning a task notifies every assignee; completing it (moving it to DONE) notifies the project's manager and, if the project has guests, them too.

Milestones

A milestone groups several tasks under a dated goal, with its own checklist of items that get ticked off as the work progresses.

Weekly planning

The Planning grid spreads expected hours: rows = projects, columns = people for the chosen week, with their availability as the column's cap. Only whoever directs the project, or has planning permission over any project, can edit it; past weeks aren't planned, only logged.

Daily dedication

The Dedication grid logs the hours actually worked, day by day. Logging your own hours needs no special permission — being on the project is enough — and someone with permission can also validate a week, which locks it against changes unless explicitly reopened.

If a week has available hours nobody logged, both the person and whoever manages them get notified on Mondays.

Manual expenses

A project can carry expenses that don't come from a Finance invoice — per diems, materials — logged by hand from its page.
