1. Review your company's legal profile
Go to My company and check the legal name, tax ID, and address — it's what shows up in outgoing communications and on the public careers portal if you turn it on.
2. Set up your structure
Before creating employees, it helps to have the basics in place:
- Positions — the roles that exist in your organization.
- Sites — the physical or remote locations your team works from.
- Departments — your teams, each with a manager.
- Contract types — the hiring models you use.
Each is set up from its own screen, in that order if you want to assign them to your first employee right away.
3. Add your first employee
Go to Employees → New and fill in the basics: name, work email, position, site, department, and contract type. If the email matches a member already invited to the organization, the record links to their account automatically — from then on that person sees their own self-service screens (My schedule, My absences, My CV...) when they sign in.
4. Assign a schedule
From Schedules, create one and assign it to the employee — it's what clockings and availability calculations use to know how many hours they're due each day.
5. Check the org chart
Open Org chart and confirm the person shows up under the right manager — it's computed automatically from each record's "manager" field.
Where to go next
- People and structure — the rest of the employee record's fields and how to edit your structure.
- Working day — absences, vacation, and clockings.
- Connect an assistant — if you want to ask Claude or ChatGPT about your people data.
